How to Enable the Portal Feature in Settings
The Portal is a helpful feature in Mind that allows vendors, landlords, or tenants to check job orders and hazards, send notes and comments, and update the status and completion of work orders.
Users can also enable the Assets portal, which allows users to log, view, and comment on Jobs related to Assets. This feature can be toggled on in the Mind That workspace settings.
Toggling On the Vendor, Tenant, or Landlord Portal
To change the Portal settings and toggle on features, go to Workspace settings.
On the workspace settings page; scroll down to Portals and click. This should show you 4 tabs which are Vendors, Tenants, Landlords and Assets.
Vendors/Tenants/Landlords Portals
When clicking on the Vendors/Tenants/Landlords Tab on Portals (if disabled), you can see the only highlighted option with a button that says “Enable x Portal.” Below are options you cannot access unless the main button is enabled.
When the main button is toggled on (A), the other options below can be modified.
To view job work orders, this Job Work Orders button (B) must be toggled on. When checking the Vendor URL, this should show the job work order available for the vendor.
When documents are enabled (C) (View Only or View & Modify) Vendors/Tenants/Landlords can view or modify documents attached their records.
Toggling on the Contacts (D) (View Only or View & Modify) will allow Vendors/Tenants/Landlords to view or manage contact lists and details within their organisation.
Enabling assets (E) (View Only or View & Modify) will allow Vendors/Tenants/Landlords to view or manage assets tied to their recordBy default, an OTP can be sent to a Vendor/Tenant/Landlord’s email if a link expires or if a PIN is forgotten. Toggling the button (F) will disable the One-Time Password.
For Vendors, Tenants or Landlords Portal Settings, you can enable and modify their settings individually, allowing for further customisation of these features as needed by your workspace.
When done, you can save Portal Settings and change it whenever needed.
Assets Portal
When the Assets Portal is enabled (A), users can log in, view, and comment on Job work orders related to Assets.
When Job Workorders are toggled on (B), a limited job view is available for access where an asset is attached to a job or site.
When Documents are enabled (C), users can see documents assigned to their Assets record.
